Administrative Manager

Westminster Woods seeks a dynamic and detailed oriented Administrative Manager to oversee administrative functions. The four main components that the Administrative Manager is responsible for include: (1) office administration, (2) human resources, (3) financial oversight, (4) risk management. 


a. Bachelor’s Degree preferred; extensive experience can substitute for education. 

b. Exemplary interpersonal skills; care in the execution of all duties and interactions.

c. Proven experience in human resource management/office administration.

d. Ability to maintain a high level of accuracy in preparing and entering information.

e. Computer skills, including a working knowledge of Microsoft Office.

f. Finance/accounting skills. 

g. Other experience or skills applicable to the administration of a non-profit camp/retreat center/outdoor school. 


1. Office Administration 

a. Use a range of office software, including email, spreadsheets, and databases.

b. Manage efficient filing systems throughout the camp.

c. Develop and implement new administrative systems as needed.

d. Organize the office configuration and maintain as necessary.

e. Review vendor contracts for office equipment and arrange for any necessary repairs.


2. Human Resources Responsibilities 

a. Maintain current knowledge of human resource management including non-profit specific policies and laws.

b. Maintain current knowledge of and administer employee medical, insurance, workers comp and staff benefits.

c. Monitor the Worker’s Compensation program in accordance with worker’s compensation laws and organization policies. 

d. Update Employee Manual as needed and ensure all stated rules within are followed.

e. Assist managers in processing of onboarding new hires and off boarding departing employees.

f. Create and maintain rental contracts for all on-site staff housing. 

g. Process and submit semi-monthly payroll to an independent payroll service. 

h. Act as primary resource and support for all staff employment concerns, including managers and directors.

i. Assist Executive Director in annual review process of Managers and Directors.

3.  Financial Responsibilities
a. Supervise Bookkeeper in prioritizing timely payment of bills and management of cash flow.
b. Assist Executive Director and Bookkeeper in the preparation of the appropriate financial statements for all Board of Director meetings.
c. Conduct financial analysis using cost accounting and camper day totals.
d. Conduct regular cost comparisons for utilities, equipment leases, insurance, employee benefits, and other service contracts.
4. Risk Management 
a. Proactive management of organizational risks, insurance, staff and guest safety, and emergency planning. 

This is a 32-hour per week benefited position. There will be a regular weekly work schedule, with the actual days and hours worked to be negotiated with the Executive Director prior to employment. Starting pay to be commensurate with experience. There is no housing available with this position. Note that Westminster Woods is located near Occidental, a 30-45 minute drive from Santa Rosa, so reliable transportation is essential.
