Business Manager

 

General Description:

The Business Manager is responsible for organizing and coordinating business operations and procedures in order to ensure organizational effectiveness and efficiency, including coordination of all office functions.

 

Essential Functions and Responsibilities:

The Business Manager is responsible for organizing and coordinating business operations and procedures in order to ensure organizational effectiveness and efficiency, including coordination of all office functions.

 

Management and Leadership

  • Provide leadership and organization at office meetings
  • Supervise Bookkeeper and oversee financial health in conjunction with Executive Director.
  • Coordinate with the Guest Service Manager as necessary to negotiate contracts.
  • Supervise front desk functions.
  • Remain up to date on all human resource laws and religious non-profit policies.
  • Maintain current knowledge of human resource management and ensure that all employment rules, codes, and laws are followed, especially in the following areas:
    • Remain current on all religious non-profit policies and state laws.
    • Maintain current knowledge of medical, insurance, workers comp and staff benefits.
  • Work with the Executive Director in recruitment of temporary staff and volunteers, including any necessary training.
  • Attend appropriate conferences and training.

Finances

  • Oversee the financial and budgeting process of the entire Westminster Woods Camp and Conference Center, including budget control.
  • Prepare the appropriate financial statements for all Board of Director meetings.
  • Oversee all accounting and bookkeeping functions including payroll.
  • Initiate an annual budget audit and prepare an annual financial report of calendar year fiscal operations.
  • Conduct financial analysis using cost accounting and camper day totals.
  • Prioritize timely payment of bills and manage cash flow.
  • Conduct regular cost comparisons for utilities, equipment leases, insurance, employee benefits, utilities, and other service contracts.

General Office responsibilities

  • Use a range of office software, including email, spreadsheets, and databases.
  • Manage efficient filing systems throughout the camp.
  • Develop and implement new administrative systems as needed.
  • Organize the office layout and maintain as necessary.
  • Review vendor contracts for office equipment and arrange for any necessary repairs.

Information Technology

  • Oversee the organization’s use of technology and create standards and procedures.
  • Maintain a stable network and troubleshoot issues as they arise. Create a plan for keeping equipment and software updated.Train or arrange for software training for staff.Create reports in MS Access that are useful for all departments.
  • Train staff in the effective use of database management software.

Landlord

  • Create and maintain rental contracts for all on-site staff housing.
  • Address housing issues quickly and efficiently (in communication with Facilities Manager).
  • Adjust rent as appropriate.
  • Ensure that houses are ready for next occupant; clean, paint, in good repair.
  • Collect and return deposits.

 

Skills, Knowledge, and Abilities

 

  • A commitment to the Christian faith and Christian camping
  • Familiarity and/or comfort working within a mainline Protestant Culture.
  • Bachelors Degree preferred; extensive experience can substitute for education
  • Exemplary interpersonal skills, care in the execution of all duties and interactions.
  • Proven experience in budget management, business management, and human resource.
  • Ability to maintain a high level of accuracy in preparing and entering information.
  • Computer Networking Administration experience.
  • Computer skills including a working knowledge of the Microsoft suite, spreadsheet and word processing software and information technology.

 

Accountability

 

The Business Manager of Westminster Woods Camp and Conference Center is accountable to the Executive Director who provides routine oversight and is responsible for reviews at least annually.
